Deposit Refund, Notice Period & Electricity Adjustment Policy
At Ghar Apna, we believe in maintaining a transparent and fair rental process for all residents. To avoid confusion regarding notice periods, room vacating procedures, electricity charges, and deposit refunds, all tenants are requested to carefully read and understand the following policy.
1. Notice Period & Rent Liability
Many tenants assume that if they vacate the property earlier than their official notice period end date, rent will only be charged till the day they physically leave the premises. However, this is not applicable under Ghar Apna’s policy.
Your rent liability remains active until the official move-out date or notice period end date mentioned in your application or exit confirmation, irrespective of the date you physically vacate the bed/room.
For example:
- If your official notice period ends on 10th May, but you vacate and hand over the keys on 1st May, rent will still be payable till 10th May.
- The pending amount will either be paid directly by the tenant or adjusted from the security deposit.
- No exceptions or rent waivers will be applicable in such cases.
2. Early Key Handover Policy
Once a tenant vacates the premises and hands over the keys to any authorized Ghar Apna representative — including caretakers, cleaning staff, or managers — the bed/room is considered officially surrendered to the company.
After key handover:
- The company reserves full rights to allot the bed/room to another tenant at any time.
- The previous tenant cannot reclaim or request a refund for unused rent days, even if the room is re-allotted before the notice period ends.
This policy helps ensure smooth room management and operational continuity.
3. Partial Vacating / Belongings Left Behind Policy
A room or bed will only be considered fully vacated when:
- The tenant has physically vacated the premises
- All personal belongings have been removed
- Keys have been properly handed over to the management/staff
If a tenant removes themselves from the property but leaves behind any luggage, bags, boxes, personal belongings, or other items, the room/bed will be treated as partially vacated.
In such cases:
- Rent will continue to be charged until complete handover is done
- Electricity charges will also continue to apply until final clearance
- This applies even if the company temporarily re-allots or occupies the bed with another tenant
If belongings remain in the room even after the notice period ends, rent and applicable electricity charges may continue until complete possession is handed over or eviction/clearance is completed by the management.
Whether the tenant is physically staying in the room or not shall not affect these charges if the premises have not been properly vacated.
4. Deposit Refund Process
Security deposit refunds are initiated only after:
- Proper room/bed vacating
- Complete belongings clearance
- Key handover completion
- Submission of required proof/photos
- Clearance of pending dues, damages, rent, or electricity charges
At the time of move-out, tenants are required to share:
- Photos of all items/accessories handed over during joining
- Clear photos of the room/bed condition
- Clear photo of the keys being handed over
These photos must be shared either:
- In the official tenant WhatsApp group, or
- On the official Home Apna WhatsApp support numbers
Please note:
- Deposit refund processing will only begin after the required photos and handover confirmation are received and verified.
- Once all required details are submitted successfully, the deposit refund is generally processed within 24 to 48 hours.
- Any pending rent, electricity charges, damages, penalties, or dues will be adjusted before the refund is processed.
Tenants are advised to properly complete the handover process and maintain communication with the management team to avoid delays in deposit settlement.
5. Electricity Bill Adjustment Policy
Electricity bills operate on a fixed billing cycle and are not generated individually on each tenant’s move-out date.
For example:
- If the electricity billing cycle is on the 20th of every month, and a tenant vacates on the 1st, the final electricity bill may only be generated after the next billing cycle date.
In such situations, Home Apna calculates electricity charges on an average basis for the pending period.
Standard Average Calculation
- Non-AC Bed: ₹30 per day (average basis)
- AC Bed: ₹60 per day (average basis)
However, electricity adjustment will always be calculated on a “Whichever is Higher” basis.
Higher Usage Adjustment Rule
If the tenant’s previous electricity consumption trend reflects a higher average than the standard daily estimate, the higher amount will be applicable.
For example:
- If an AC tenant’s last monthly electricity bill was ₹4,000:
- ₹4,000 ÷ 30 days = approximately ₹133 per day
- In such a case, ₹133 per day will be considered instead of the standard ₹60 per day average.
This policy ensures fair electricity usage settlement based on actual consumption trends.
6. Electricity Bill Reconciliation & Adjustment
Ghar Apna also ensures fair settlement of electricity charges after the actual electricity bill is generated.
If the average electricity amount charged during move-out is higher than the tenant’s actual share of electricity consumption, the excess amount will be refunded back to the tenant upon request and verification.
Similarly:
- If the actual electricity bill amount is lower than what was collected, the balance amount will be refunded
- If the actual bill amount is higher than the estimated or average amount collected, the tenant will be contacted and the remaining balance must be cleared by the tenant
This reconciliation process helps ensure that electricity charges are ultimately adjusted fairly based on actual consumption data.
7. Final Policy Acceptance
By staying at Ghar Apna, all tenants acknowledge and agree to comply with the above Deposit Refund, Notice Period, Partial Vacating, and Electricity Adjustment policies.
We request all residents to maintain clear communication with the management team during move-out procedures to ensure a smooth and hassle-free deposit settlement process.
